Privacy Policy

InspectAndGo is operated by NT Development Group Pty Ltd (ABN: 41 660 399 020), a company registered in the Northern Territory, Australia. We are committed to protecting your privacy and handling your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

This Privacy Policy explains how we collect, use, disclose, and store your personal information when you use the InspectAndGo platform, including our web application, mobile applications, and related services.

1. Information We Collect

We collect the following categories of personal information:

  • Account information: name, email address, password (hashed), company name, role, and contact details provided during registration and onboarding.
  • Inspection data: photographs, audio recordings, written notes, checklist responses, condition assessments, and report content created during inspections.
  • Location data: GPS coordinates, accuracy readings, and timestamps collected during field sessions to geo-tag inspection evidence.
  • Device information: device type, operating system, browser type, and screen resolution for optimising your experience.
  • Usage data: pages visited, features used, session duration, and interaction patterns to improve our services.
  • Payment information: billing details processed securely through our payment provider, Stripe. We do not store full card numbers on our servers.

2. How We Use Your Information

We use your personal information for the following purposes:

  • Providing, operating, and maintaining the InspectAndGo platform and its features.
  • Generating inspection reports, including AI-assisted analysis of photographs, voice recordings, and floor plans.
  • Processing payments and managing your subscription.
  • Communicating with you about your account, service updates, and support requests.
  • Improving our platform through aggregated, de-identified usage analytics.
  • Complying with legal obligations and enforcing our Terms of Service.

3. GPS & Location Data

InspectAndGo collects precise GPS location data during active field inspection sessions. This data is used to geo-tag photographs and evidence, verify inspector presence at the inspection site, and provide compliance-grade location verification for reports.

Location data is only collected while you are actively using the field capture features. We enforce a 5-metre accuracy threshold in production to ensure reliable geo-tagging. You may disable location services through your device settings, but this will prevent you from using field capture features.

4. Photo & Media Data

Photographs, audio recordings, and other media captured through InspectAndGo are stored securely in Google Cloud Storage within the Sydney (australia-southeast1) region. Media files are associated with your inspection records and are accessible only to authorised members of your organisation.

AI processing of media (such as defect detection, voice transcription, and floor plan analysis) is performed using Google Vertex AI. Your inspection data is stored in Australia (Sydney), but some AI processing may take place on Google infrastructure outside Australia under Google’s data processing terms, with the generated results returned to and stored in the Sydney region. Media is processed for the sole purpose of generating inspection insights and reports, and is not used to train third-party models.

5. Data Storage & Security

All data is stored on Google Cloud infrastructure in the Sydney, Australia region (australia-southeast1). We implement industry-standard security measures including:

  • Encryption at rest and in transit (TLS 1.3).
  • Firebase Authentication with secure session management.
  • Firestore security rules enforcing tenant-scoped data isolation.
  • Mandatory session timeouts and re-authentication for idle sessions.
  • Role-based access controls within organisations.

6. Third-Party Services

We use the following third-party services to operate InspectAndGo:

  • Google Cloud Platform & Firebase: hosting, database (Firestore), authentication, cloud functions, and storage. Data is stored in the Sydney region.
  • Google Vertex AI (Gemini): AI-powered report generation, voice transcription, floor plan analysis, and photo analysis. Some of this processing may occur on Google infrastructure outside Australia (see “Overseas disclosure” below); results are stored in the Sydney region.
  • Stripe: secure payment processing for subscriptions. Stripe’s privacy policy applies to payment data they process.
  • SendGrid: transactional email delivery for account notifications, verification emails, and report delivery.
  • Google Analytics (GA4): aggregated usage analytics to improve our platform. No personally identifiable information is shared.

We require all third-party service providers to maintain appropriate security measures and to process personal information only as necessary to provide their services to us.

Overseas disclosure

Your inspection data (records, photos, reports) is stored in Australia in the Google Cloud Sydney region. However, some AI processing performed by Google Vertex AI may take place on Google infrastructure located outside Australia (for example, the United States) under Google’s data processing agreement, which contractually requires equivalent protection of your information. We take reasonable steps to ensure any overseas recipient handles your personal information consistently with the Australian Privacy Principles. Generated results are returned to and stored in the Sydney region.

7. Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Access: request access to the personal information we hold about you.
  • Correction: request correction of inaccurate or incomplete personal information.
  • Complaint: lodge a complaint if you believe we have breached the APPs. We will investigate and respond within 30 days.
  • Data export: export your inspection data at any time through the platform’s export features.
  • Account deletion: request deletion of your account and associated data by contacting us.

If you are unsatisfied with our response to a complaint, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

8. Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. Inspection data is retained for the duration of your subscription plus 90 days after account closure to allow for data export. After this period, data is permanently deleted from our systems.

We may retain de-identified, aggregated data for analytical purposes. Where we are required by law to retain certain records (such as financial transaction records), we will do so for the legally mandated period.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice within the platform or sending an email to your registered address. The “Last updated” date at the top of this page indicates when the policy was most recently revised.

Continued use of InspectAndGo after changes are posted constitutes your acceptance of the updated policy.
